This Privacy Policy explains how Appliance Circle collects, uses and protects personal information when you visit appliancecircle.com, respond to our ads, contact us, or rent equipment from us. We do not sell your personal information.
1. Information we collect
Information you give us
- Contact and lead forms on our website: your name, email address, phone number (if provided), role (property manager, landlord or resident), company or property name, number of units or appliances, and anything you write in a message.
- Ad lead forms, such as Meta (Facebook/Instagram) Instant Forms or Google lead forms: the information you choose to submit, such as name, phone, email, city or ZIP code, and answers to our questions. The ad platform shares it with us when you submit.
- Rental and service information: service address, appliance details, hookup type, scheduling preferences, service requests, and communications with us.
- Payment information: processed by our payment processor Stripe. We do not store full card numbers on our systems.
Information collected automatically
- Device and usage data: IP address, browser type, device type, pages visited, referring site, and the date and time of visits.
- Cookies, pixels and similar technologies (see Section 4), including the Meta Pixel and Google tags (Google Ads conversion tracking and Google Analytics) if enabled on our site. These help us measure which ads lead to inquiries.
- Ad click information, such as campaign identifiers (for example UTM parameters, Google "gclid" or Meta "fbclid"), so we can tell which ads are working.
Information from others
- Property owners and managers may give us resident names, unit numbers and contact details so we can install and service equipment in their units.
- Advertising platforms (Google, Meta) give us aggregated reports about ad performance.
2. How we use information
- To respond to inquiries, provide quotes, and follow up by phone, text or email about your request.
- To schedule and perform delivery, installation, dryer vent cleaning, repairs, replacements and retrieval.
- To bill, collect payments, and keep business and tax records.
- To send service-related messages (appointment confirmations and reminders, service updates).
- With your consent where required, to send occasional marketing messages. You can opt out at any time (see Section 7).
- To measure and improve our website and advertising, including conversion tracking and building advertising audiences (for example, showing ads to people who visited our site, or excluding existing customers).
- To protect our equipment, prevent fraud, and comply with legal obligations.
3. How we share information
We do not sell your personal information, and we do not share it for money. We share information only as follows:
- Service providers that help us run our business, such as website hosting, form handling, email and phone or text services, scheduling, payment processing and accounting. They may use the information only to provide services to us.
- Advertising and analytics providers, such as Google and Meta, through cookies, pixels or tags on our site, or when we upload hashed (encrypted) contact lists to measure ads or build audiences. These companies handle data under their own privacy policies: Google Privacy Policy and Meta Privacy Policy.
- Property owners and managers: if you are a resident in a building with an Appliance Circle program, we may share service status (for example, that a repair was completed or that a machine was damaged) with your property's management.
- Legal and safety: when required by law, to enforce our Terms, or to protect the rights, property or safety of anyone.
- Business transfers: as part of a merger, sale or transfer of our business, subject to this Policy.
4. Cookies, pixels & your choices
Cookies are small files stored by your browser. We and our partners use them, along with pixels and tags, for essential site functions, to understand site usage, and to measure and personalize advertising. You can:
- Block or delete cookies in your browser settings (some site features may not work).
- Manage Google ad personalization at adssettings.google.com and opt out of Google Analytics with the Google Analytics opt-out add-on.
- Manage Meta ad preferences in your Facebook or Instagram Ad Preferences.
- Use industry opt-out tools at optout.aboutads.info.
5. Data retention
We keep personal information only as long as needed for the purposes above. In general:
- Inquiries and leads that don't become customers: up to 24 months after the last contact, then deleted.
- Customer, rental and service records: for the length of the rental plus up to 7 years for tax, accounting and legal purposes.
- Analytics and advertising data: according to the retention settings of the relevant platform.
6. Security
We use reasonable administrative, technical and physical safeguards to protect personal information, such as encrypted connections (HTTPS) and limiting access to the people who need it. No method of transmission or storage is 100% secure, so we can't guarantee absolute security.
7. Your rights & choices
- Access, correction and deletion: you may ask to see, correct or delete the personal information we hold about you, subject to records we must keep by law.
- Marketing opt-out: click "unsubscribe" in any marketing email, reply STOP to marketing texts, or contact us. We may still send service messages about an active rental.
- Washington residents: if we ever collect "consumer health data" as defined by Washington's My Health My Data Act (we don't intend to), we will handle it as that law requires.
To make a request, contact us using the details below. We may need to verify your identity before acting on it.
8. Children's privacy
Our services are for adults. We do not knowingly collect personal information from children under 13 (or under 18 for rental agreements). If you believe a child has given us information, contact us and we will delete it.
9. Text messages
If you give us your mobile number, we may text you about your inquiry, appointments and service. Message and data rates may apply. Reply STOP to opt out or HELP for help. We do not share mobile numbers or text-messaging consent with third parties for their marketing.
10. Changes to this Policy
We may update this Policy from time to time. We will post the updated version on this page and change the "Last updated" date. If we make material changes, we will provide additional notice where required.
